Booking Terms, Conditions &
Trip Code of Conduct

By booking and/or participating in a Girls Who Love Travel (“GWLT”) group trip, you acknowledge that you have read, understood, and agree to be bound by the following Booking Terms, Conditions, and Trip Code of Conduct (the “Agreement”).

This Agreement applies to you and all travelers associated with your booking.

Company Information & Agreement Scope

All trips are organized and operated by Meghan McGuire, sole proprietor and owner of all itineraries advertised under the names “Girls Who Love Travel, LLC” and “Chicago Girls Who Love Travel” (collectively referred to as “Girls Who Love Travel” or “GWLT”).  Your acceptance of these terms, submission of a deposit or payment, or participation in a trip constitutes your full consent to all provisions of this Agreement on behalf of yourself and all travelers included in your booking.

Booking Process & Confirmation

Bookings are made through our online registration system. A booking is not confirmed until you receive written confirmation from Girls Who Love Travel. Until written confirmation is issued, no contract exists between you and Girls Who Love Travel.

Payment & Cancellation Policy

Deposits:  All trips require an initial deposit. Deposits are non-refundable under any circumstances.

Traveler Cancellations: All cancellation requests must be submitted in writing. Refund eligibility is based on the date written notice is received.

  • 60 days or more prior to departure - Eligible for a 50% refund of total payments made, excluding the non-refundable deposit.
  • 45–59 days prior to departure - Eligible for a 30% refund of total payments made, excluding the non-refundable deposit.
  • Less than 45 days prior to departure - No refund will be issued.

Trip Cancellations by Girls Who Love Travel: If a trip is canceled by Girls Who Love Travel for reasons other than severe weather, natural disasters, civil unrest, or similar force majeure events, a full refund of payments made will be issued.  For trips cancelled for force majeure events, Girls Who Love Travel will work to reschedule the trip.

Assumption of Risk & Liability Waiver

By registering for a Girls Who Love Travel trip, you acknowledge and voluntarily assume all risks associated with travel, including but not limited to:

  • Acts of God, natural disasters, or severe weather
  • Terrorism, civil unrest, or political instability
  • Crime, theft, or personal injury
  • Exposure to illness or disease
  • Accidents, transportation incidents, or negligence
  • Travel in remote or underdeveloped areas where medical care or evacuation may be delayed or unavailable

Participants acknowledge the inherent risks of domestic and international travel and agree to assume full responsibility for their participation.

Emergency Medical Authorization

You authorize Girls Who Love Travel and its Tour Companies, partners, or representatives to arrange emergency medical treatment and hospitalization on your behalf if deemed necessary, without further consent.

Required Insurance & Financial Responsibility

All travelers must obtain valid travel medical insurance that includes emergency medical treatment and emergency evacuation coverage for the full duration of the trip. This coverage is required to participate in any Girls Who Love Travel trip.

In addition, we strongly recommend (but do not require) that travelers purchase general travel insurance to protect against unexpected issues such as:
  • Flight delays or cancellations
  • Lost, delayed, or stolen baggage
  • Trip interruptions
  • Missed connections or unforeseen personal emergencies

By booking a Girls Who Love Travel trip, you confirm that:
  • You understand travel medical and evacuation insurance is mandatory
  • You are responsible for purchasing and maintaining the required coverage
  • You assume full financial responsibility for any costs not covered by your insurance, including medical care, emergency evacuation, or trip-related expenses

Proof of required insurance may be requested prior to departure. Travelers who fail to secure the required insurance may be denied participation in the trip without refund.

Schedule Changes & Itinerary Adjustments

You acknowledge that travel may involve delays, schedule changes, substitutions, or cancellations due to circumstances beyond Girls Who Love Travel’s control. No refunds will be issued for changes caused by such events.
At Girls Who Love Travel (GWLT), our trips are built on connection, respect, and shared adventure. By joining one of our group trips, you agree to uphold the following Code of Conduct to help ensure a safe, welcoming, and enjoyable experience for everyone.

Participation in any GWLT trip is conditional upon compliance with this Code of Conduct.

Community Values & Respect:

All travelers are expected to act with kindness, respect, and consideration toward:
  • Fellow travelers
  • Trip hosts and GWLT team members
  • Local guides, drivers, vendors, and partners
  • Local communities, cultures, and environments

We celebrate diversity and are committed to fostering an inclusive, supportive travel environment.

Zero Tolerance for Bullying, Harassment, or Discrimination:

Girls Who Love Travel has zero tolerance for bullying, harassment, intimidation, discrimination, or abusive behavior of any kind.

This includes, but is not limited to:
  • Verbal abuse, insults, or threats
  • Gossiping, exclusion, or hostile behavior toward others
  • Discriminatory language or actions based on race, ethnicity, religion, gender identity, sexual orientation, age, ability, or background
  • Harassment in person, online, or through group chats related to the trip

Any behavior that makes others feel unsafe, unwelcome, or disrespected will be taken seriously.

Consideration for Group Dynamics

Group travel requires awareness and respect for shared spaces and experiences.

Travelers are expected to be mindful of noise levels, particularly early mornings, late evenings, and in shared accommodations, meals and transportation. Avoid excessive or disruptive behavior, including persistent loudness or excessive profanity in group settings
Respect that not all travelers share the same comfort levels, backgrounds, or communication styles

While everyone is encouraged to be themselves, behavior that repeatedly disrupts the group experience is not acceptable.

Alcohol, Substances & Responsible Behavior

Some Girls Who Love Travel activities may include alcohol, such as winery visits or group dinners. Participation in these activities is optional and other alternative non-alcoholic drinks will be available.  Travelers who choose to consume alcohol are expected to do so responsibly and respectfully. Excessive intoxication, unsafe behavior, or actions that disrupt the group experience or make others uncomfortable are not permitted.

Illegal substances are strictly prohibited at all times.

Any behavior under the influence of alcohol or other substances that violates our community standards or Code of Conduct may result in immediate action, including removal from activities or the trip.

Compliance with Laws, Rules & Instructions

All travelers must follow local laws and regulations, comply with rules set by accommodations, tour providers, and transportation services.
Follow reasonable instructions from the GWLT trip host, local guides, and team members

Failure to do so may result in removal from activities or the trip.

Trip Host Authority & Enforcement

The GWLT trip host and team are responsible for the safety, comfort, and overall experience of the group.

Girls Who Love Travel reserves the right, at its sole discretion, to take appropriate action if a traveler violates this Code of Conduct, including but not limited to:
  • Verbal warnings
  • Removal from specific activities
  • Immediate removal from the trip

If a traveler is removed from the trip due to a violation of this Code of Conduct, no refunds will be issued for any unused portion of the trip and the traveler will be responsible for any additional costs incurred, including accommodations, transportation, or flights

Reporting Concerns

Travelers are encouraged to report any concerns or conduct issues to the trip host or a GWLT team member as soon as possible. Reports will be handled discreetly and taken seriously.

Agreement & Acknowledgment

By booking and participating in a Girls Who Love Travel trip, you acknowledge that:
  • You have read and understood this Booking Terms, Conditions and Trip Code of Conduct
  • You agree to abide by these expectations
  • You understand that violations may result in removal from the trip without refund

Traveler Conduct & Community Standards

*We currently have local communities in Chicagoland Area, Wisconsin and New York City.  If you are not in one of those locations, please still include your city as we are looking to add more in the future!
